How does a customer request in the wardrobe configurator become a quote?

Last updated

Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. This page follows one enquiry from the customer's screen to the quote they receive, and names the screens you use on the way.

What the customer does

A homeowner designs a wardrobe on your site, with the step-by-step editor, the AI assistant, or both. On the last step they ask for a quote and leave an email address and a mobile number. Your site texts them a six-digit code, and typing it in confirms the request. The code is how you know the number is real.

As soon as the request arrives, the platform prices the design from your own price list and draws two PDFs: one for the customer, and one for your workshop with the cut list and the hardware list. The customer never does the arithmetic; the server does.

What you see on Quotes

The quote lands on Quotes (/admin/quotes) and on Today (/admin), which lists the quotes waiting for your approval. Open it and the strip at the top shows one main action for the state the quote is in. The tabs underneath hold the offer, the workshop documents, the customer's details, payments and the history.

Every quote has one state: Awaiting confirmation, New, Sent, Won, In production, Completed or Lost. Use Change state to move it along. You can close a quote you decide not to send at any point, without pretending it was won or lost.

What the customer receives

With manual approval on, the customer gets a short email saying their request has arrived and that you will review it. That receipt carries no price and no PDF, and it is sent once. You get an email saying a quote is waiting for your approval: at most once a day for each quote, and never about a quote you made yourself.

When you are happy, press Approve & send. You can add a personal note. The customer then receives the PDF by email, with a link to their own online quote page. On that page they can tell you they are interested or ask you to call, and Today shows you who did.

If you would rather the PDF went out without you, switch to automatic sending under Settings → Quote Delivery (/admin/settings). Any quote with an item that has no price is still held back for you.

Changing a quote after it has gone

A sent version is locked: it stays exactly what the customer holds. To change something, press New version in the strip. It copies the sent version into one you can edit on the Offer tab. If you changed the design itself, use Regenerate to price it again. Nothing reaches the customer until you press Send revision.

Pressing send on the version the customer already has sends nothing. The platform tells you "Nothing to send — the customer already has this version" and no email goes out. If you expected an email, check that you are looking at the new version.

Version history on the quote lists every version with the one the customer holds marked as sent, and What changed compares two of them. The quote page also shows which revision the customer last opened, so you can see whether they have read your latest offer.
