How are installation, delivery and measurement visits charged on fitted wardrobe quotes?
Last updated
Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. A fitted wardrobe is not finished when it leaves the workshop, so every quote can carry fitting, delivery and the visit to measure. All three are set on Pricing (/admin/pricing), under Services & installation.
Installation is billed once
Fitting is charged exactly once. You choose where it appears on the quote, and the two options use different formulas, so the choice changes the customer's total:
- Included in the wardrobe price: priced by the hour at your installer rate, from a baseline per cabinet plus a figure per panel, and folded into the wardrobe cost. It carries your risk and profit margins and VAT, and the customer sees no separate line.
- Its own line under Services: a flat fee per wardrobe plus a rate per metre of width, shown as its own line with VAT on top and no margins. The hourly charge is then not applied at all.
Surcharges such as a two-person crew or a weekend job are added when the customer's site needs them.
Where the wardrobe is assembled
Small wardrobes can be built up in the workshop and only fitted on site. Under Where the wardrobe is assembled you set the width you build in the workshop up to, how much on-site work is still needed, and the workshop minutes per panel. The on-site charge is reduced, never removed, and the bench time that replaces it is charged as workshop labour.
Delivery is billed for the round trip
The van comes back, so the kilometres are charged on the drive out and on the drive home:
- Base call-out fee: charged once per delivery.
- Per kilometre driven: on both legs, so a customer 30 km away is 60 billed km.
- Tier break-point and per km beyond break-point: a cheaper rate for long drives. The break-point is measured one way, as how far away the customer lives.
- On-site delivery surcharges and postcode fallback zones for the cases a distance does not cover.
Distances are measured by road from your workshop's registered address, so that address has to be on file in Settings → Company & legal (/admin/settings). Without it, no delivery line is added, and the quote page says why.
Measurement visits
How far you drive for a free measurement, and what you charge beyond it, is a policy you state once under Measurement visit:
- Free measurement up to a distance. Nothing is set until you fill this in. Choose it by drive time, not round kilometres.
- Charge for a visit beyond that radius, with Charged up to a distance and a Travel fee (gross), as your pages state it, VAT included.
- Deduct it from the deposit if they order: if ticked, the fee a customer paid is taken off their deposit.
- Beyond the charged band, you prepare the quote remotely and come out to measure once the deposit is paid.
Your policy in words shows the result as a customer would read it. The same settings fill in your public terms and process pages. If you list the towns you serve, the page warns you when one lies beyond your free radius.
When a customer has paid for the visit, record it on their quote. The deposit on that quote, and the amount in its payment slip or QR code, drop by what you recorded.
The deposit
The deposit percentage is not set here. Quote validity and the deposit live with the quote's other terms in Settings → Quotes & documents, and the Pricing page shows them read-only. See terms, payment details and your legal entity.
Check the result on a real document: the Services (delivery & assembly) section of the workshop PDF. A delivery line needs the customer's address as well as yours, so a quote without one, such as your test quote, shows no delivery line.
