How do I set payment details, deposit and terms on fitted wardrobe quotes?
Last updated
Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. Every quote it sends names your business, says how long the price holds and tells the customer how to pay the deposit. This article shows where each of those is set.
Your legal entity
The business that sells the wardrobe is your legal entity, set in Settings → Company & legal (/admin/settings): legal name, VAT number, registration number, street, city, postal code, country, contact email and contact phone. These print on your quote PDFs.
The registered address does a second job: it is where delivery distances are measured from. Without it, quotes carry no delivery charge. The setup guide's first row, Your workshop, stays open while any of them is missing.
How customers pay you
On a new workspace, the second half of the setup guide's fifth row opens Terms and payment (/admin/setup/terms). What it asks for depends on the country set under Region in Settings → Brand & general:
- United Kingdom: your sort code and account number. Quotes print your bank details so the customer can pay the deposit by bank transfer. The UK has no consumer payment-QR standard, so there is no QR code.
- Slovenia: your IBAN. Quotes print a UPN payment slip with a QR code for the deposit, and you choose the reference model.
- The euro area: your IBAN. Quotes print a SEPA payment QR code that any euro banking app can scan.
Each has a switch to print the payment block on quotes. If the details are saved but the switch is off, the setup guide tells you that quotes print no payment block. Quotes still send without bank details; they just do not tell the customer how to pay.
The deposit and validity
On the same step:
- Deposit: the share of the total, VAT included, that the customer pays to confirm the order, as a whole number from 10 to 100. It is also the amount encoded in the payment QR code.
- Quote validity: how many days a quote stays valid from the day it is made. It prints on the customer quote, your workshop copy and the quote email.
The step also holds your measurement visit policy; see installation, transport and measurement visits.
Settings → Quotes & documents
Everything about the quote document lives on one tab, Settings → Quotes & documents, with one Save button:
- PDF template: Classic, Clean or Modern.
- Branding: the colour on the quote (your brand colour unless you set another), optional header and footer text, and logo placement.
- Standard comments & terms: text that prefills every new quote. You can still edit it on each quote before sending.
- Validity, and the deposit and payment details above.
- Quote follow-ups and your own list of lead sources.
The Pricing page shows validity and the deposit read-only and links here, so each number has one place.
Whether a finished quote waits for you or goes to the customer by itself is set once, under Quote Delivery in Settings → Brand & general. "Review before sending" is the recommended setting.
The notice on every quote
The customer's quote carries a short notice titled About this quote. On an estimate it says the design and price are approximate and not binding, and that the final quote follows a measurement on site. On a final offer it gives the date the quote is valid until. On both, it says the customer concludes the manufacturing contract directly with your business, named from your legal entity.
Separately, your configurator carries a platform notice that you cannot remove on any plan. It tells customers who provides the software and that their contract is with you. Plans are compared on the pricing page.
When this is done, send yourself a test quote and read the payment block on the customer PDF.
