Who can see what in my wardrobe configurator, and when can Closetforge support open my account?
Last updated
Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. Three kinds of people touch your workshop's site: you and anyone else with an admin account, your customers, and occasionally Closetforge support. This page sets out what each can see and do, and how to take your data with you.
You: the admin account
An admin account signs in to the back office at /admin on your own site's address. It sees everything that belongs to your workshop: quotes and their prices, your price list, customers, designs, analytics and settings. It sees nothing that belongs to any other workshop. Every request your back office makes is limited to your own workshop, however it is made.
If someone else in your workshop needs to sign in, ask us. How many people can hold an account depends on your plan; plans has the details. Each person should have their own account rather than share one, so each can use their own passkey and two-factor codes.
Your customers
Customers do not have back-office accounts. They use your public site and the configurator:
- Their designs are kept for the browser they designed in, and they see only their own.
- A share link lets them send a design to someone else, either to view it or to help edit it. Whoever holds the link sees that design and nothing more.
- Their quote reaches them as a link and a PDF once you send it. The customer's PDF shows the price, the summary and your terms. The cut list, the hardware list and the cut layout are on your own copy only.
They never see your rates, your markups, your margin or your notes. Whether they see a running price while they design is your choice, set by your pricing mode.
When Closetforge support opens your back office
To help you, for example while setting up your price list or looking into a problem you reported, a Closetforge staff member can open your back office as your admin. This is how it works:
- A single-use link. Our console makes a link that works once, and only for ten minutes. It signs in as your workshop's admin account.
- A visible session. While it lasts, the staff member's screen carries a banner saying they are acting as your account.
- The same tools as you. In that session they can do what you can do in the back office.
- What it cannot do. It cannot add a passkey to your account, so it never leaves a way back in once it ends. It is also not counted as you signing in.
- It is recorded. Every time, Closetforge's audit log records who made the link and, separately, when it was actually used. The link itself is never stored.
You can check your own passkeys at any time under Settings → Security (/admin/settings), and you are emailed whenever a passkey is added or removed.
Taking your data with you
Several lists export what you see:
- Quotes (
/admin/quotes) and Customers (/admin/customers) have Export CSV. - Materials (
/admin/materials) exports your board and decor list, with your prices. - For a single customer, Personal data in Customers downloads a copy of everything stored about them, or erases it, as GDPR asks.
If you leave Closetforge, ask us for an export of your workshop's data. The contract you accepted with your subscription sets out how that is done.
