Who is responsible for customer data in the wardrobe configurator, and how do I export it?

Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. Your customers leave their name, email, phone and address on your site, and this page explains who answers for that data and which tools you have to deal with it.

Who is responsible for what
For the people who use the configurator on your site, your workshop is the controller and Closetforge is the processor. You decide why their data is collected (to design a wardrobe and send them a quote); we store and process it on your behalf, under the DPA you accept with your subscription.
As controller you publish your own privacy notice and answer your customers' requests about their data. The platform gives you the tools for both requests GDPR names most often: a copy, and erasure.
A copy of a customer's data, or erasure
Open Customers (/admin/customers) and choose Personal data beside the person. The panel reads what is actually stored under their email address before offering anything.
- Give them a copy downloads a JSON file with the name, email, phone and delivery address recorded on each of their quotes, with dates, statuses and when they gave consent, plus any contact details they gave the AI assistant. Earlier values that were later corrected are included too. Prices, the wardrobe design and your own notes are not in it.
- Erase their personal data clears the name, email, phone, delivery address and your notes from every one of their quotes. The quotes themselves stay, with numbers, dates and prices, because they are your commercial record and tax law expects you to keep them. The quotes are anonymised, not deleted.
The Quotes and Customers lists also have Export CSV for your own records.
Cookie banner and Google tags
Out of the box your site loads nothing from Google and shows no cookie banner. Under Settings → Advertising & measurement (/admin/settings) you can add a Google Ads tag, a conversion label for an enquiry and a Google Analytics 4 measurement ID. Entering any one switches on a cookie banner, and the tags load only for visitors who accept. Rejecting is as easy as accepting. Google receives page views, the configurator steps and each enquiry confirmed with the SMS code, never a customer's name or contact details.
Where your visitors come from
Your site counts visits itself, without cookies. Analytics (/admin/analytics) has a Where customers come from section: visitors, designs started, enquiries, quotes sent and won jobs per source, such as Google Ads, Facebook and Instagram, search engines, other websites, campaign links and direct visits. The source is worked out once, when a visit starts; the page address itself is not kept.
Visits sent by AI assistants such as ChatGPT, Perplexity, Copilot, Gemini or Claude are shown as an AI assistants line under the source that already holds them. It tells you how many enquiries started from an assistant's answer.
Where the data is kept
Your site, database and backups are hosted in the EU. A few services that send email and SMS and run the AI assistant process data outside the EU under standard contractual clauses; the current list is on our sub-processors page. The terms that govern it are in the Data Processing Addendum.
