How do follow-up reminders work in my wardrobe quoting software?
Last updated
Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. When a quote goes out and nothing comes back, the platform can send your customer a short reminder on your behalf. This page explains what it sends, when, and how it stops.
Off until you switch it on
Reminders write to your customers in your name, so they are off for every workshop until you turn them on yourself.
The switch is in Settings → Quotes & documents (/admin/settings), on the Quote follow-ups card: Send follow-up reminders.
The three reminders
Each quote can receive at most three reminders, each one once. You choose how many days each one waits:
- Not opened: "Your quote is waiting". Sent only when the customer has never opened the quote link. The number of days is counted from the day you sent the quote.
- No response: "Any questions?", pointing at the two buttons on the quote page. Sent whether or not the quote was opened, if the customer has not answered.
- Expiring soon: "Valid for N more days", counted back from the quote's validity date.
All three go to the customer's email in the quote's language, carry the link to the public quote page and never print a price. The figure is one tap away on the page itself.
Only one reminder goes out at a time, and there is always a gap of at least two days between two different reminders.
An optional text message
Also send an SMS on the first reminder adds one short text with the same link to the Not opened reminder only. It is sent between 08:00 and 20:00 Slovenian time; outside those hours it waits for the morning. Every text is billed by the SMS provider.
When reminders stop for good
The sequence ends, and is never restarted, as soon as any of these happens:
- the customer presses I am interested or Call me on the quote page;
- the customer asks for no more reminders;
- you record an outcome, or move the quote out of Sent;
- the offer reaches its validity date. A reminder about an expired offer is never sent;
- you pause the quote yourself.
A quote with no customer email gets no reminders at all, and a quote that cannot be sent because of unpriced items waits until you fix them.
Sending a revised version moves the timing forward, because the customer is now holding a new document. It does not refill the reminders: a reminder already sent for that quote is not sent again.
Pausing one quote
On the quote's Customer tab, the Follow-ups panel has a switch, No follow-ups for this quote. It stops the reminders for that quote only, and your other quotes are unaffected. The panel also lists every reminder that went out.
The customer's opt-out page
Every reminder email ends with a link that says, in the customer's language, not to send any more reminders. The link opens a page on your site with one sentence and one button. Nothing is switched off until the customer presses the button, so an email scanner that follows links cannot opt a customer out by accident.
Once they have opted out, the Follow-ups panel shows it as a readout, with the date: "The customer asked us to stop sending reminders". It is their instruction, so there is no control to undo it. Pausing and resuming a quote yourself never clears it.
The text message cannot be answered with STOP; it tells the customer to opt out through the email.
What reminders do not do
They never chase a quote you have not sent, and they never move a quote's status. A reminder the mail service refused is not retried: two copies are worse than one missed nudge.
