How do quote validity, versions and the public quote page work in my wardrobe quoting software?

Last updated

Closetforge is a white-label 3D wardrobe configurator and quoting tool for fitted-wardrobe makers. A quote is not one document but a short history: the version the customer holds, and any revision you are preparing. This page explains how long a quote is valid, how versions work, and what your customer sees.

Validity

Quote validity (days) is set once for your workshop, in Settings → Quotes & documents (/admin/settings). It is how long a quote stays valid from the day it is created, and the resulting date is printed on the customer quote, on the workshop copy and in the quote email. A new workshop starts on a suggested value; set your own.

When the date passes, the quote is not void. The customer's quote page says This quote has expired: the design and specification still stand, but prices may have moved, so they should ask you for a fresh quote. If you use follow-up reminders, the last one is timed from the same date and is never sent after it.

Versions

Every quote keeps its versions. A version is a frozen record of the line items, totals, comments and design at the moment it was saved or sent, with its own PDFs. Opening an old version shows exactly what it said then, even if your rates have changed since.

On the quote page you can step through the versions. The marks tell them apart:

  • SENT: the version the customer holds.
  • CURRENT: the newest version, the one you are working on.
  • not sent yet: a revision the customer has not seen.

What changed vs a previous version lists the differences line by line.

Revising a sent quote

Once a quote is sent, its version is pinned. To change it, press New version. That copies the sent version into a new one you can edit. The customer's copy stays exactly as it was, and nothing is sent until you press Send revision. Sending pins the new version and emails the customer the updated quote.

Only one revision can be open at a time. If you press New version again, you are told to edit the one you already have.

Sending the same version twice does nothing

A send only does something when the version you are sending is not the one the customer already holds. If they already have it, nothing is emailed and you see Nothing to send — the customer already has this version. To send the customer something new, make a new version first. To give them the same document again, send them the link, for example by SMS.

What the customer sees

The quote email links to the customer's own quote page on your site, under your brand. It shows the sent version, never a revision you are still editing:

  • a 3D view of the design as quoted, with the renders full size;
  • the specification: dimensions, materials and contents;
  • the price table with VAT shown the way your workshop quotes it, the total, and Valid until with the date;
  • your notes and terms, and Download PDF;
  • Questions about this quote?, with your email and phone;
  • two buttons: I am interested and Call me. A press reaches you straight away, and the buttons are replaced by a thank-you that survives a reload.

If the customer has changed their design in the editor since the quote, the page says so at the top. They can view the design as it was quoted and press Request an updated quote.

Knowing whether they have read it

The quote shows when the customer first opened the page and how often they came back, and which version they last read. If they last read an older version than the one you have out, it says so: they have not seen the latest offer yet. Downloading the PDF from the email counts as an open. Your own visits to the page are not counted.
